Three systems built around how client work actually moves — from first form to fully onboarded.
I ran my own client onboarding through a subscription tool until the cost stopped making sense as a solo operator. That pushed me to look more closely at the process itself. Even with the paid version, it still took too many manual steps. So I rebuilt intake, contracts, and invoicing myself. I started with free-tier tools and connected everything around how I actually work. These demonstration builds come from my own business, so you can see exactly how I build. I'll add client case studies as I complete more paid automation projects.
Client Intake Automation
Every new client meant manually generating a contract, invoice, client portal, and project workspace, then sending a welcome email by hand. It was a slow, click-heavy process even with just one tool.
A client fills out an intake form (Tally). Their answers flow straight into a CRM record (Airtable), trigger a conditional follow-up email (Flodesk) based on their responses, and send an instant Telegram notification with everything needed to prepare. This includes whether a kickoff call is required.
Contract Generation Automation
Generating a contract, emailing it for signature, then manually downloading and filing the signed copy once it came back used to eat 15–20 minutes per client. Fields still had to be edited by hand when scope or pricing changed.
One pre-filled form generates a PDF contract and sends it for e-signature automatically. Once signed, the document is filed into a client-specific Google Drive folder without anyone touching it. Fields like price, timeline, or scope can be edited through a simple chat-based flow, which regenerates the document instantly.
Invoice Generation Automation
Most clients paid via Wise rather than Stripe or PayPal, and the old tool couldn't auto-reconcile those payments. Every transaction had to be checked and matched by hand.
The moment a contract is signed, an invoice with a pre-filled payment reference goes out automatically. The system watches for the matching Wise payment and updates the invoice status on its own. As soon as the first payment lands, even a partial one, it triggers the welcome email and starts onboarding immediately.
Together, these three builds form one pipeline.
